Chapter 1: Basic Digital Literacy  |  Subjective

Note: It is compulsory to attempt any four (4) parts each from Q.No.2 and Q.No.3, and any two (2) questions from Part II. Write the same question number and part number as given in the question paper.
SUBJECTIVE – PART IMarks: 16
Q.2: Write short answers to any FOUR parts. (4 × 2 = 8)
  1. Write the use of the functions SUM, AVERAGE, MIN and MAX.
Ans: SUM adds numbers, AVERAGE finds the mean, MIN shows the smallest value and MAX shows the largest value.
  2. What is a chart? Write one use of charts.
Ans: A chart is a picture that shows data in a clear and easy way. Use: it helps us understand information quickly and compare data instead of reading long tables of numbers.
  3. Define a cell. Why is it called the smallest unit of a spreadsheet?
Ans: A cell is a small box where we type numbers, words or formulas. It is the smallest unit of a spreadsheet, and every cell has its own address.
  4. What are custom filters? Write the shortcut key to apply or remove filters.
Ans: Custom filters can be used on multiple columns at the same time to narrow down data efficiently. The shortcut to apply or remove filters is Ctrl + Shift + L.
  5. Which chart is best to show: (a) marks of five students compared, (b) parts of a household budget, (c) sales over a year?
Ans: (a) Bar chart for comparing values. (b) Pie chart for parts of a total. (c) Line chart for changes over time.
  6. How can a spreadsheet help in making a budget plan?
Ans: We list all sources of income and all types of expenses. Formulas quickly find total income, total spending and the remaining balance. This helps us understand how we use our money each month.
Q.3: Write short answers to any FOUR parts. (4 × 2 = 8)
  1. Why are data reports useful? Name two spreadsheet tools that make reports detailed.
Ans: Reports help people understand results quickly and make better decisions. Sorting, filtering and charts make reports detailed and easy to read.
  2. When do we use a bar chart? Give one example.
Ans: A bar chart shows data using bars of different lengths and is useful for comparing values. Example: comparing the marks of different students.
  3. Write any two benefits of sorting data.
Ans: 1) It helps us find information easily and see patterns in the data. 2) Sorted data looks more organized and is easier to understand.
  4. Differentiate between a pie chart and a line chart.
    Ans:
    Pie chartLine chart
Shows data as parts of a circleConnects points with lines
Shows how each part contributes to the wholeShows changes over time, such as sales during a year
  5. What is a cell address? Give two examples.
Ans: Every cell has its own address, made by combining its column letter and row number. It tells us exactly where the data is stored. Examples: A1, B2.
  6. In how many ways can text and numbers be sorted? Write them.
Ans: Text can be sorted from A to Z (alphabetical) or Z to A. Numbers can be sorted from smallest to largest or largest to smallest.
SUBJECTIVE – PART IIMarks: 14
Attempt any TWO questions. (2 × 7 = 14)
Q.4: Explain the importance of adding titles, labels and legends to a chart. How can they be added or changed? (7)
Ans: A chart looks better and is easier to understand when we add titles, labels and legends.
  • Title: tells what the chart is about.
  • Labels: show what each axis or part represents.
  • Legend: explains the colours or symbols used in the chart.
Importance: these elements make the chart clear and meaningful. Without them, people may not understand what the chart is showing. Adding a descriptive title, axis labels and a legend helps us present our data in a professional and organized way.
How to add or change them: select the chart, then use the Design tab of the chart tools to change or set the title, labels and legends.
Q.5: What is a spreadsheet? Describe its importance, popular programs and uses. How is a new file created in MS Excel? (7)
Ans: A spreadsheet is a computer program that looks like a large table made of small cells. It helps us store, organize and calculate data, from simple lists to complex mathematical problems. It is like a big digital notebook for organizing numbers and words neatly.
  • Importance: it helps people work with numbers and data easily, and makes work faster, neater and more accurate. A single spreadsheet can hold thousands of rows and columns of data.
  • Popular programs: Microsoft Excel, Google Sheets and LibreOffice Calc.
  • Uses: calculations and data management in schools, offices and businesses, for office work, school projects and personal records.
New file in MS Excel: 1) Open Microsoft Excel. 2) Click File (top-left). 3) Select New. 4) Click Blank Workbook. The new file is created.
Q.6: Explain data entry and formatting data in a spreadsheet. Write the related shortcut keys. (7)
Ans:
  • Data entry: typing information into the cells of a spreadsheet. We can type numbers, words or formulas, such as student names, marks or prices. Each piece of data should be placed in the correct cell to keep the table organized. Enter moves to the next cell below and Tab moves to the next cell on the right.
  • Formatting: changing the look of data to make it neat and attractive. We can change font size, colour and alignment and add borders around cells. Formatting highlights important data such as titles or totals, makes large tables easier to read, and makes the spreadsheet look professional and organized. Colours can separate different types of data, e.g. bold headings and totals in a different colour.
  • Shortcut keys: Ctrl + 1 opens the Format Cells window with a preview. Alt + H + O + I AutoFits the selected column. To AutoFit all columns press Ctrl + A and then Alt + H + O + I.
